Administrative Associate II (Administrative Associate 2 – MR04)

The Administrative Associate II is a clerical role providing support for the Multidisciplinary Research Building (MDRB) which includes Vice Chancellor of Research, Center of Urban Informatics & Progress (CUIP), UTC Research Institute, IGT Lab, and Quantum. The position performs a variety of routine, standardized, well defined tasks following standard policies and procedures. The Administrative Associate II will also be the point of contact to reserve the second floor of the Edney, which is a space that is used by UTC and located in downtown Chattanooga.

Duties and Responsibilities:

Provides front-line customer service, greets visitors, answers phones, responds to email inquiries, and distributes mail; works with other MDRB staff for hosted meetings and events (order food and other logistics, etc.; manages calendar for MDRB conference room which is available for use campus wide’ helps with the second floor of the Edney when events are planned.

Monitors the camera, grants access, and directs the person to the appropriate office for people without swipe access to the building; will be the liaison for the MDRB and UTC's Facilities Department and building custodians - reports issues and opens work tickets as necessary; emails work control when there is a problem and others that use the facility.

Utilizes the following programs for daily work: IRIS/DASH/Sharepoint/Marketplace; assists with procurement cards; directs the tasks for ASSP/FWS student workers; and other duties as assigned.
  • Works with confidential and time-sensitive materials including but not limited to:
  • Manages the collection of time sheets for graduate assistants and undergraduates; both monthly and bi-weekly
  • Submits time into IRIS/DASH
  • Files documents
  • Fiscal Year file maintenance in accordance with UT policy

  • Time management skills to manage competing tasks and deadlines

Minimum qualifications: High school diploma or GED.

Preferred qualifications: Working knowledge of Microsoft Office (particularly Outlook, Excel, and Word); and experience with SAP (IRIS) and Sharepoint a plus.
