Position Summary

The ideal candidate will be a strategic thinker with a proven track record in overseeing auxiliary functions within an organization. This position plays a crucial role in enhancing the overall operational efficiency and effectiveness of the institution through support and leadership of the overall day-to-day operations critical to the units for Auxiliary Services.

This includes, but is not limited to, staffing, strategic planning, forecasting, data analysis, reporting, project management, developing internal procedures, and other functions ensuring adherence with established requirements and standards.

Minimum Required Education and Experience

Master's Degree Required. 8-10 years related experience and/or training; or equivalent combination of education and experience with minimum of Bachelor's). Auxiliary Services or Hospitality skills and experience with leading or managing people/and or processes required.

Preferred Education and Experience

CASP Certification.

Must have a valid North Carolina driver's license and be insurable by the University's carrier. Following a conditional offer of employment, Elon conducts motor vehicle record checks on all job applicants who are required to drive a university vehicle as an essential function of their job. Thereafter, a random motor vehicle record check will be conducted annually. Employment is contingent upon successfully passing a motor vehicle record check.

Job Duties
  • Leadership and Strategy
    • Manage the campus contracts overseen by Auxiliary Services.
    • Oversee the licensing and trademark program.
    • Supervise the Associate Director of Auxiliary Services.
    • Collaborate with the Assistant Vice President for Auxiliary Services in the development and implementation of a comprehensive strategic plan for auxiliary services that includes goals, vision, mission, and special projects.
    • Provide visionary leadership to the auxiliary services team, fostering a culture of innovation, collaboration, and continuous improvement.
    • Evaluate market trends and industry best practices to identify opportunities for service enhancement, cost-effectiveness and leverage innovations to improve efficiency.
    • Monitor and assess service quality, making recommendations for improvements as needed.
    • Serve on University committees as assigned or requested.
  • Operational, Facility and Vendor Management
    • Direct the day-to-day operations of various auxiliary service departments, ensuring high-quality service delivery.
    • Oversee the licensing program. Protect the university marks on products, expand opportunities for trademark royalty revenue, ensure Trademark Licensing policies and procedures are followed, and support University sponsorship efforts. Oversee and manage the licensing approval process for the university.
    • Coordinate annual contracts and POs related to facilities.
    • Coordinate repairs and on-going facility needs with Facilities Management.
    • Perform weekly, quarterly, and annual walkthroughs of all auxiliary facilities.
    • Implement and maintain operational policies and procedures to ensure compliance with regulatory requirements and organizational standards.
    • Tracking of quarterly health and monthly pest inspections for Elon Dining and The Inn at Elon.
    • Work with the Assistant Vice President for Auxiliary Services to plan and budget for maintenance and renovation of new or existing facilities.
    • Attend Event Resource Group as representative for department and Elon Dining.
    • Serve on the Health, Safety & Environmental Management Committee as a representative for the department.
  • Financial Management
    • Develop and manage budgets for auxiliary services, ensuring fiscal responsibility and efficient resource allocation.
    • Analyze financial performance, identify variances, and implement corrective actions as needed.
    • Explore revenue-generating opportunities and partnerships to contribute to the financial sustainability of auxiliary services.
    • Reconcile monthly invoices for dining services.
    • Managing the Meal Plan Appeals Process.
    • Develops or assist in the development of RFP's as needed.
  • Communication and Marketing
    • Coordinate marketing plans for the Auxiliary Services department.
    • Maintain departmental websites and social media applications.
    • Maintain effective communication with a wide range of constituencies, including students, faculty, staff, parents, vendors, and external stakeholders.
    • Create strong partnerships with other departments and units within Finance and Administration, Student Life and across the university.
    • Collaborate with various departments within the organization to ensure seamless integration of auxiliary services with academic and administrative functions.
    • Communicate effectively with stakeholders, including students, faculty, staff, and community members, to gather feedback and address concerns.
  • Student and Community Engagement
    • Foster a student-centered approach, promoting services that enhance the overall campus or community experience.
    • Solicit feedback and actively engage with students, staff, and the community to address their needs and concerns.
